What is Microsoft 365?
What is Microsoft 365? Microsoft 365 (formerly known as Office 365) is a collection of productivity tools that combines the commonly used Office apps (e.g., Word, PowerPoint and Excel) along with powerful collaboration services like Microsoft Teams, and OneDrive. Who can use Microsoft 365? All current CC faculty, staff and students are eligible to install Microsoft 365 for free on up to 5 individual-use devices, such as laptop, tablet, or smartphone. Note. The availability of the individual applications within M365 may vary, please refer to the application pages for more details on eligibility: Microsoft Office Microsoft Teams Microsoft OneDrive CC retirees, emeritus and adjunct professors are eligible for Office 365 online to help facilitate working with the College community. This furnishes all the Office services, but does not allow for downloadable desktop installs of Office. The Office suite is still available in a browser. How do I install Microsoft 365? Individual-use Microsoft 365 is available to all current CC faculty, staff, and students with a Microsoft 365 account. Refer to the Getting Started page for instructions on how to sign in to an Columbia College Microsoft 365 account and install M365 on your individual-use device. College-managed If you are an CC faculty/staff and you hold a college-managed device, Office applications (but not M365) should be pre-installed on your device. Getting Started with Microsoft 365
Getting Started with Microsoft 365 Overview This document is only for Windows 10 or newer. Not for use with any other operating systems. Steps To sign in to the Microsoft 365 Portal. At the Microsoft login screen, enter your Columbia College email address (i.e., yourCCID@columbiacollege.ca). You will be re-directed to the CC login screen. Log in using your CC ID and password. You will be taken to the Microsoft Portal which will be the centre point for all the Microsoft products assigned to your account. From here you can access Office products online by clicking on the rubrics cube on the top left corner. Installing Microsoft Office on Personal Devices. All current CC faculty, staff and students are eligible to install Microsoft 365 for free on up to 5 individual-use devices, such as a Windows 10 or newer computers. If you hold a Columbia College provided laptop you will not need to do this. Please note that the license will be revoked if you are no longer employed with Columbia College. Log in to the Microsoft 365 Portal. Please refer to the section above for log in instructions. Select Install Office, located at the upper right corner of the page. Choose Office 365 apps from the drop-down menu. Follow the on-screen directions to complete the installation. Changing Account Password
To change Microsoft account password: Sign in to https://aka.ms/mysecurityinfo Click "Change Password." Set a new password. Upon successful change of password, please ensure you update the campus wifi connection to use your new password. If you are experiencing issues with change of password or cannot remember your password, please submit a ticket at https://columbiacollege.freshservice.com/support/tickets/new To change Avanti password: Sign in to https://myavanti.ca/columbiacollege/ Click on your profile picture on the top right corner of the webpage. Click on "Settings." Locate and fill out the change password section. Click "Change Password" to confirm the changes. If you are experiencing issues with change of password or cannot remember your password, please contact Denise or Dafna for further assistance.

Microsoft Account MFA
Please note: The pictures below are for Android devices, the Microsoft Authenticator app on your iOS devices may be different. MFA Documentations and Instructions IMPORTANT: Please make sure you download the correct application on your phone. It will not ask you to pay for the app. On your phone, download the Microsoft Authenticator app from its respective app store. Android: https://play.google.com/store/apps/details?id=com.azure.authenticator iOS: https://apps.apple.com/ca/app/microsoft-authenticator/id983156458 On your laptop or computer, go to the following website and sign in with your college credentials. https://aka.ms/MFASetup Click on Next if you already have the Microsoft Authenticator app. Please note: You may choose “I want to use a different authenticator app” at your preferences, however, IT may not be able to assist with the MFA setup. Regardless, MFA will still work. Click on “Next” until you see the QR Code. On your Microsoft Authenticator app, if it asks for notification permission, please select “Allow”. Then on the top right, select the “+” sign. If you don’t see it, please select the triple-dot and choose “Add account”. Then, please select “Work or school account”, a popup will show up with the option to “Scan a QR Code”. The app will then ask for your camera permission, select “Allow”. Hover your phone’s camera over the QR Code on your computer until it finishes scanning. If the scan is successful, the app will let you know that “Account added successfully”, and you can see your email showing up on the screen. On your computer, choose “Next” after you scanned the QR Code shown on your computer screen. A popup will show up for you to enter on your phone. Please enter the same number and select “Yes”. Then you will see it says “Notification approved” on your computer. That means MFA has been successfully set up for you. If you have multiple authentication methods, please make sure to set the default to Microsoft Authenticator. Browse to the Security info tab on https://myaccount.microsoft.com/ Change the Default sign-in method to Microsoft Authenticator app. Click Confirm to confirm the change.

Updating Email Signature
If you would like to have your name changed, or append designations, you can do so by clicking on the rainbow icon on the taskbar on Outlook or Outlook Web Mail when composing a new email. Go to Settings to update your data there. Note the items in a red lock will not be changeable, a helpdesk ticket will be required. If you have any questions or concerns, please raise a helpdesk ticket (email: helpdesk@columbiacollege.ca or online: https://columbiacollege.freshservice.com/support/home) and an IT team members will reach out to you.

Prioritizing Audio in Windows Workaround
If you are using multiple audio devices in Windows, there is a workaround to set the priority as a default playback device. To set a device as a default device. a. Right-Click on Volume icon in the Task bar notification area and select "Sound settings", then scroll down and select ‘More sound settings’. b. See if the desired primary device (ie) Speaker is detected when plugged in or connected by Bluetooth. c. If it’s not detected, right-click on the blank area and select “Show Disabled Devices”. d. If it gets detected, select your desired primary device (ie) Speaker, right click and select “Set as Default Device”.

How to Book a Room Using Outlook Calendar
This is a guide on how to book a room at the college. This includes booking the computer labs in the main and north campus, boardroom and multipurpose room. Open the Outlook app or web Outlook. On the ribbon, click on the drop down arrow beside the "New Email" button and select Meeting. On the "required" text box, type in your email address and any other user Select the date and time you require the room. Click on the locations button and select the room you would like to book. Click Send after you are done. If you have any booking conflicts or questions, please email Nav Umed (numed@columbiacollege.ca), Campus Operations Coordinator.

Connecting to the college Wifi (CCWIRELESS)
Please Note: For all Columbia College members: If your password is expired or your account is locked, you will not be able to connect to the wireless network. If you are using Columbia College provided devices, the devices should automatically connect to the wireless network. No additional configurations would be needed. For Columbia College Faculty and Staff: You will be asked to sign using your work credentials. You will only be asked once; however, if you have changed your password, you may be asked to sign in again. For Columbia College Student: You will be asked to sign using your student credentials. You will only be asked once; however, if you have changed your password, you may be asked to sign in again. If you are unable to sign in into the wireless network using your Student Portal password, please check your Student Portal to make sure your password meets the password requirements. If you are experiencing issues, please contact IT at helpdesk@columbiacollege.ca or visit IT Office in Room 413, Main Campus Windows computers: 1. Select CCWIRELESS and click Connect 2. Enter your username/Student ID number and your password. Click Ok to proceed forward. 3. Click Connect on the confirmation screen to continue with the connection. You should now be connected to the school wireless network. Apple computers: 1. Connect to CCWIRELESS 2. Enter your username/Student ID number and your password. Click Ok to proceed forward. 3. Click Continue to proceed forward. 4. You are now connected to the school wireless network. Android: 1. Connect to CCWIRELESS 2. Enter your username/Student ID number and your password. Click Connect to proceed forward. 3. For the CA certificate, select “Don’t validate” or “None selected”. NOTE: if you do not have the option to select “Don’t Validate” or “None selected” for the CA certificate. For CA certificate, select “Use system certificates” For Online certifcate status, select “Don’t Validate” or “None selected” For Domain, type in ccrada.columbiacollege.bc.ca 4. Click Connect to proceed to join the wireless network. 5. You are now connected to the school wireless network. iPhone: 1. Connect to CCWIRELESS 2. Enter your username/Student ID number and your password. And click Join to proceed to next page. 3. Click Trust. 4. You should now be connected to the school wireless network.

How to send an eFax
eFax Overview As of December 2025, standard copper phone lines are no longer supported. Fax machines are still relying on the old copper phone lines. The transition to electronic fax (eFax) is required to meet the need for sending and receiving faxes. This document provides guidance on how to send and receive eFax. In Columbia College, we have 2 eFax lines tied to the following emails Telephone number 604-682-7191 sends and receives faxes on CCFAXA@columbiacollege.ca Telephone number 604-262-3379 sends and receives faxes on CCFAXB@columbiacollege.ca NOTE: This is only available to those assigned with eFax. Please reach out to Helpdesk if you require access. Approval will be required. How to send an eFax If you need to send a Fax, please ensure you are assigned access to one of the above email addresses. Go to your Outlook Client, ensure that one of the above email addresses is added to your Shared with me folder. If you have been assigned but do not see the email folder, right click “Shared with me” and” Add shared folder or Mailbox”. Then enter one of the above email addresses assigned to you. Ensure “Show From” option is enabled. Select “Options” and enable “Show From.” Create a message. Ensure the From is set to CCFAX Enter the phone number (International Code+Area Code+Phone Number) into the TO field along with “@efaxsend.com” Attach the WORD or PDF document you would like to send. How to Receive an eFax Each Fax line is tied to its email counterpart.
